Terms of Service
Last updated October 18, 2026
These terms cover your use of Postboxey, an email service that [Company legal name] (“we”, “us”) runs for businesses on their own email domains. Postboxey is provided to a business (the “Customer”), which invites its people (“Members”) to use it. By using Postboxey you agree to these terms. If you use Postboxey for a Customer, the Customer’s agreement with us also applies, and it takes precedence over these terms where the two differ.
1. Your account
- Your account is created when the Customer’s Manager invites you. Keep your password, passkeys, security keys and recovery codes safe, and turn on two-factor authentication. You’re responsible for what happens under your account.
- Tell your Manager, or us at [contact email], straight away if you think someone else has used your account.
- Your Manager can invite and remove Members and change the Customer’s settings. When the Customer removes you, or stops using Postboxey, your access ends.
2. Who owns what
- Your email, contacts, notes, attachments and other content belong to you and the Customer, not to us. We use them only to provide Postboxey: storing and delivering mail, searching, filtering spam, and the other features you use.
- Postboxey itself (its software, design and name) belongs to us. These terms don’t give you any rights in it beyond using the service.
3. Acceptable use
Don’t use Postboxey to:
- send spam, bulk unsolicited mail, phishing or malware;
- break the law, or infringe anyone’s rights, including privacy and intellectual property;
- harass, threaten or defraud anyone;
- try to get into accounts or data that aren’t yours, test or break Postboxey’s security without our written permission, or overload the service;
- pass off mail as coming from someone it doesn’t come from.
Email sent from Postboxey goes out under the Customer’s domain, so sending abuse harms the Customer and everyone else on the service. We may hold or stop mail, or suspend an account, to deal with abuse, and we’ll tell the Customer when we do.
4. Spam filtering and security
- Incoming mail is checked automatically for spam and forged senders. Mail that looks like spam goes to your Spam box rather than being refused, and some first-time senders may be asked by our mail server to try again a few minutes later. No filter is perfect: check your Spam box, and use “Mark as spam” and Restore to help it learn.
- To protect your privacy, Postboxey can block tracking images and load remote images through our servers instead of your device.
5. Deleted mail
Mail you move to the Trash is permanently deleted after 30 days. Mail in Spam, and from senders you’ve declined, is permanently deleted after 90 days. Senders you set up for recycling have their older mail moved to the Trash on the schedule you choose. Deleted mail can’t be recovered. You can export your data at any time from your account settings.
6. Availability and changes
- We work to keep Postboxey running and your mail safe, but we can’t promise it will always be available or error-free. Planned maintenance and outside events can interrupt it.
- We may change or add features. If we make a change that substantially reduces what Postboxey does for the Customer, we’ll give the Customer reasonable notice.
- We may update these terms. If a change is significant, we’ll tell you in Postboxey or by email before it takes effect. Continuing to use Postboxey afterwards means you accept the updated terms.
7. Ending service
We may suspend or end access for anyone who breaks these terms, after notice to the Customer where we reasonably can. When a Customer’s service ends, we’ll give the Customer a reasonable period, set out in its agreement with us, to export its data before we delete it.
8. Disclaimers and limits
- Postboxey is provided “as is”, without warranties of any kind, to the fullest extent the law allows.
- To the fullest extent the law allows, we aren’t liable for indirect, incidental or consequential losses, or for lost profits, data or business, and our total liability arising from Postboxey is limited to [the amount the Customer paid us in the 12 months before the claim].
- Nothing in these terms limits liability that can’t be limited by law.
9. General
- These terms are governed by the laws of [State], and any dispute will be handled in the courts of [County, State], unless the Customer’s agreement with us says otherwise.
- If any part of these terms can’t be enforced, the rest still applies.
- Our Privacy Policy explains how we handle personal information.
10. Contact
